MRM (Management Review Meetings)

The MRM module allows you to schedule, conduct, and document Management Review Meetings. MRMs are a key requirement of quality management systems (e.g., ISO 13485) where top management reviews the QMS to ensure its continuing suitability, adequacy, and effectiveness.

Overview

An MRM follows a structured lifecycle:

  1. Scheduled → Meeting is created with date, participants, and agenda
  2. In Progress → Meeting has started and discussions are being recorded
  3. Completed → Meeting is finished, all agenda items have been documented
  4. Pending Approval → Meeting minutes are submitted for approval
  5. Approved → Meeting minutes are approved

MRM Statuses

Scheduling a New MRM

  1. Navigate to QMSMRM from the sidebar
  2. Click the Schedule MRM button
  3. Fill in the meeting details:

Meeting Details

  • Meeting Title (required) — e.g., "Q1 2026 Management Review Meeting"
  • Description — Brief description of the meeting objectives
  • Date (required) — Select the scheduled date
  • Time — Select the meeting start time
  • Venue — Enter the meeting location (e.g., "Conference Room A")

Meeting Leadership

  • Chaired By (required) — Select the person chairing the meeting (typically the MD or CEO)
  • Management Representative — Select the management representative (typically the Quality Head)

Participants

  • Participants — Select all users who will participate in the meeting

Agenda Points

The system pre-fills standard MRM agenda points based on ISO 13485 requirements:

  1. Follow up actions from previous management review
  2. Status of Internal/External Audit
  3. Customer Feedback
  4. Customer Satisfaction Level
  5. Customer Complaint handling
  6. Reporting to regulatory authorities
  7. Monitoring & measurement of Process, Performance & Product Conformity
  8. Status of Corrections & Preventive Actions
  9. Changes that could affect the Quality Management System
  10. Review of Quality Policy & Quality Objectives
  11. Training Needs and their implementation
  12. Applicable new or revised regulatory requirements
  13. Recommendation for improvement

You can:

  • Modify any pre-filled agenda point
  • Add new agenda points using the "Add Agenda Point" button
  • Remove agenda points (at least one must remain)
  1. Click Schedule MRM to create the meeting

Conducting the Meeting

Starting the Meeting

  1. Navigate to QMSMRM and click on the scheduled meeting
  2. Click the Start Meeting button
  3. The MRM status changes to "In Progress"

Recording Discussions

During the meeting, for each agenda item:

  1. Click the Edit button next to the agenda item
  2. Record:
    • Discussion Highlights / Management Decision — Key points discussed and decisions made
    • Action Plan — Any actions to be taken, including responsible persons and timelines
  3. Click Save to record the discussion for that agenda item

Marking Attendance

  1. In the Participants section, mark each participant who attended the meeting
  2. Click the attendance checkbox next to each participant's name

Completing the Meeting

  1. After all agenda items have been discussed and recorded, click the Complete Meeting button
  2. The MRM status changes to "Completed"

Note: The progress bar on the meeting page shows how many agenda items have been documented with action plans.


Submitting for Approval

After the meeting is completed, submit the minutes for approval:

  1. On the completed MRM detail page, click the Submit for Approval button
  2. Select the Approval Workflow to use (workflows of entity type "MRM")
  3. Click Submit
  4. The MRM status changes to "Pending Approval"

Approvers will review the meeting minutes and either approve or reject them.

If e-signatures are enabled, approvers will need to enter their password when approving or rejecting.


Viewing MRM History

Navigate to QMSMRM to see a table of all management review meetings with:

  • Meeting Title
  • Date — Scheduled date of the meeting
  • Status — Current status (Scheduled, In Progress, Completed, etc.)
  • Chaired By — Who chaired the meeting
  • Number of Participants
  • Actions — View button to see meeting details

You can filter meetings by status to quickly find meetings that need attention.


Best Practices

  • Schedule MRMs at regular intervals — Typically quarterly or at least annually, as required by your quality management system
  • Follow the standard agenda — The pre-filled agenda points cover the ISO 13485 requirements for management review input
  • Document thoroughly — Record all discussion highlights, decisions, and action plans for each agenda item
  • Track action items — Follow up on action items from previous MRMs at the next meeting
  • Include all relevant stakeholders — Ensure department heads and key personnel participate
  • Submit for approval promptly — Finalize and submit meeting minutes for approval within a few days of the meeting
  • Review prior MRM — The first agenda point is specifically for following up on actions from the previous MRM
